# Dashboard

The Dashboard is a user interface that displays key performance indicators (KPIs) and other vital metrics in a graphical format. Metrics dashboards are commonly used in business and technology to monitor and track progress towards goals, identify areas for improvement and make data-driven decisions.

The Dashboard includes multiple visualisations such as charts, tables and graphs, that display data from different sources. These visualisations can be customised to show different types of data such as sales figures, customer engagement, recent orders, total orders, affiliates, abandoned carts or any other metrics that are relevant to the business or organisation.

The Dashboard is a powerful tool for businesses and organisations to monitor and improve performance. This Dashboard can help users make informed decisions and take actions that drive results by providing a clear, visual representation of key metrics.

# Sales

The Sales Section offers merchants the ability to manage the statuses of Orders, Coupons, Gift Cards and Customer Wallets.

#### Orders

This application manages all the orders that customers have placed on the e-commerce store. It allows the store to view and process orders, update order status and track shipments. It also helps in managing returns, cancellations and refunds.

#### Coupons

This application allows the e-commerce store to create and manage digital coupons for customers. Store owners can create coupons such as third-party merchant coupons for goods or services and/or coupons for their services and goods.

#### Gift Cards

This application allows customers to purchase and send gift cards to their friends and family. The e-commerce store can create different types of gift cards with varying values. Customers can redeem gift cards in the store to purchase products.

#### Wallets

This application allows customers to store and manage their digital wallet balance. Merchants can add funds to the customer's wallet using different payments using the Back Office. The e-commerce store can also offer incentives to customers by adding funds to their wallets after spending a pre-determined value.

# Orders

### Orders Status Page

The Order Status Page is where the merchant will be able to manage orders placed by clients or created by Back Office users. Merchants can view Order Numbers, Creation Dates, Customer Names, Order Totals, the Store the order was placed with, Shipping Method, Payment Status, Shipping Status and Order Status. Merchants will be able to create new orders from this page.

#### Order Number

The Order Number is a sequential number starting with ORD that is generated by the system. The merchant and clients can use this number to track the status of the orders placed. The merchant can easily search for orders based on this order number.

#### Date

This is the date that the order was created. This does not mean that the order has been paid, it just means that the client has created an order by going from check out to the payment merchant. The client will still be able to wait and pay for the order within the expiry period.

#### Customer

This is the name of the client that has placed the order.

#### Total

This is the total order amount including any discounts and delivery costs.

#### Store

This is the name of the store that the order was placed with. If you are a single store then this is not important, but if you have multiple stores, this will let you know which store to fulfil the order for.

#### Shipping Method

This will inform you of the shipping method that the client chose on checkout to use.

#### Payment Status

This will inform you if an order has been paid, partially paid or not paid.

#### Shipping Status

This will tell you the shipping status of the order. If you have not integrated with a logistics company, you will need to update this manually in the fulfilment section of the order. If you have integrated with a shipping method, the shipping status should update automatically.

#### Order Status

This will tell you what status the order is in. There are a few different types of statuses that will all indicate where the order is in the process. Below are the basic statuses:

* Pending: A client has created an order but has not made a payment or has only made a partial payment.
* Expired: A client has not paid for the order within the allotted time.
* Processing: The order has been paid for in full and needs to be fulfilled.
* Completed: The order has been processed and shipped/collected.

# Enquiries

Merchants can set specific products to be enquiry only. This means that the clients won't pay for it by check out but instead, an email will be sent to the merchant expressing the client's interest in the product. \
\
The reason a merchant would choose to make a product enquiry only would be because it is a difficult product to get ahold of, it requires custom building, involves some kind of license, etc. Once the enquiry is made the merchant can contact the customer and edit it before saving it as an order.

### How to Edit an Enquiry

# Categories

A Category Tree is a hierarchical structure that organises and categorises products in an online store. The tree typically starts with broad categories at the top and becomes increasingly specific as you move down the tree.

Here is an example of a Category Tree:

* Clothing
  * Men's Clothing
    * Shirts
      * T-Shirts
      * Dress Shirts
    * Pants
      * Jeans
      * Dress Pants

In this example, the top-level category is "Clothing" and it is divided into three subcategories: "Men's Clothing", "Women's Clothing" and "Kids' Clothing". Each of these subcategories is then further divided into more specific categories such as "Shirts", "Pants" and "Dresses". And each of those categories are further divided into even more specific subcategories such as "T-Shirts" or "Evening Dresses".

### Adding a Category

1. Click on Catalogue > Categories
2. Select the Create Button
3. Enter the Category Details
4. Click the Save Button\ <br>

{% embed url="<https://scribehow.com/embed/How_to_Add_a_Category__S4BkrnudRWmc_4eY2EOcpQ>" %}

# Brands

Brands refer to companies or entities that create or produce products. These Brands can be small businesses or large multinational corporations and they produce a wide range of products that are sold through online stores.

Brands can be used as a filter on the product filter pages (Category Pages). This will make it easier for customers to find the products they are looking for on the filter pages.&#x20;

### Adding a Brand

1. Click Catalogue > Brands
2. Click on the Create Button
3. Enter the Brands Details
4. Click the Save Button

{% embed url="<https://scribehow.com/embed/Adding_a_Brand__eykqcYjwQTyGg9fElBpZRg>" %}

# Families

Product families are groups of products that are related to each other in some way. These products share similar characteristics, features or functions and are often differentiated by specific variations such as size, colour or material.

Here is an example of product families:

1. Clothing: This product family might include items like shirts, pants, dresses, and jackets. Each of these categories could be further broken down into subcategories based on things like style, colour or material.
2. Electronics: Within this product family, you might find items like smartphones, laptops, tablets and headphones. Each of these categories could be further broken down based on brand, features or price.

### Adding a Product Family

1. Click On Catalogue > Families
2. Click on the Create Button
3. Give your Product Family a name and then click Create
4. Click The Add New Dimension Button
5. Give your new dimension a name
6. Select a Type from the drop-down
7. Add a new value
8. Add a Value (What the Group is)
9. Then add the metadata (What the client will see on the front end)
10. Once you have added all the dimensions, click Save Changes

{% embed url="<https://scribehow.com/embed/Creating_a_Colour_and_Size_Dimension_in_a_Catalogue___djkuZPqQ3qKdt-YcYGR2Q>" %}

# Products

Your products are the goods, coupons, services, hampers and gift cards you sell. You add a product in Storefront by entering product details such as name, description and uploading product images. If your product has options - like size or colour - you can add a variant (Product Family) for each combination of options.

(It is important to note that you must set up a product family before adding variant options to your products.)

When adding or updating a product, you can make the product available to one or more of your sales channels.

You can view, add, update and organise all of your products and variants from the Products Page in the Back Office of Storefront.

# Inventory

Inventory refers to the quantity and availability of products that a business has in stock and can sell to customers through its online store. It is important for businesses to have a well-managed inventory to ensure that they are able to meet customer demands and avoid stockouts or overstocking, which can impact their profitability.

The Inventory Section allows the merchant to manage how stock is tracked and the stock levels of all the products on the website in one place rather than having to go and manage it product by product.

On the Inventory Page, you can change how the products are tracked, see how much you have On Hand, see what has been reserved and what has been committed.\
\
On Hand - How much stock you have at the Warehouse.

Reserved - An order has been created and stock is reserved.

Committed - An order has been placed and paid for.

# Vendors

Vendors are third-party suppliers whose products the merchant sells on their online store. &#x20;

Refer third-party suppliers to businesses or individuals who sell products on an online marketplace that is not owned or operated by them. These vendors may offer a wide range of products or services. E-commerce platforms such as Amazon and Takealot often allow third-party suppliers to list their products on their websites, providing customers with a broader selection of goods and services to choose from. \
\
The merchant of the online store adds the products supplied by the Vendors and adds them using the selling price of the Vendor as the cost price on the online store and then adds their mark up which allows the system to work out the selling price on the store.

Once a Vendor is set up and products have been added, the merchant will be able to quickly see product details like Cost Price and On Hand Stock.

### Adding a Vendor

1. Click on Catalogue > Vendors
2. Click on the Create Button
3. Fill in the Vendors details

The merchant is able to arrange the products By Price, alphabetically or by custom settings that enable more flexibility for the merchant to show their best products first. The system will even let you sort your products via a drag-and-drop method.

# Product Reviews

# Markup Manager

The Markup Manager helps merchants automatically apply selling prices to products when only cost prices are available. It eliminates the need to manually calculate prices for each product, especially useful when importing or updating product data from suppliers.

### How It Works

When a product is imported with only a cost price, the Markup Manager calculates the selling price using a predefined markup percentage. Markups can be assigned by category path, brand, or fall back to a default value. You can also apply these markups in bulk to an entire pricelist.

### Markup Priority

\
Markup rules are applied in the following priority:\
1\. Exact category path match (e.g. “/Electronics/TVs/Smart TVs”)\
2\. If multiple rules match, the one with the higher markup is used\
3\. Closest parent category path (fallback to broader category)\
4\. Brand markup (if no category match)\
5\. Default markup (if no brand or category match)\
\
Note: If a product already has a markup, it will remain unless the bulk action is run to update it.<br>

### Bulk Markup Action

\
The Markup Manager includes a bulk update feature for pricelists:\
\
\- Updates all products within a pricelist using current markup rules\
\- Only applies to products that have a cost price\
\- Only updates products that have a matching markup rule\
\- Does not enable/disable pricing\
\- This action cannot be undone \ <br>

### Summary of Rule Types

<table data-header-hidden><thead><tr><th valign="top"></th><th valign="top"></th></tr></thead><tbody><tr><td valign="top">Rule Type</td><td valign="top">Description</td></tr><tr><td valign="top">Category Markup</td><td valign="top">Most specific – matched to product’s category path</td></tr><tr><td valign="top">Brand Markup</td><td valign="top">Used when no category markup applies</td></tr><tr><td valign="top">Default Markup</td><td valign="top">Final fallback if no other rule is found</td></tr></tbody></table>

\
The Markup Manager ensures pricing is consistent, efficient to manage, and responsive to changes in supplier cost data.

\
By providing a sitemap.xml file to search engines, online stores can improve the discoverability and indexing of their pages, potentially leading to better organic search visibility and traffic. It's important to update the sitemap.xml file whenever new products or pages are added to the store to ensure search engines are aware of the latest content.
